This Privacy Policy explains how Mile7 Transportation Solutions LLC, operating as Mile7 ("Mile7," "we," "us," or "our"), collects, uses, shares, protects, and retains personal information in connection with our website and transportation services.
Our approach is simple: collect and use the information we reasonably need to arrange and provide transportation, protect passengers and our operations, meet applicable requirements, and communicate clearly with the people and organizations we serve.
1. Scope and Key Terms
This Policy applies to information handled through the Mile7 website, transportation requests, customer and passenger communications, contracted transportation relationships, vehicle and location technology, and related business operations.
Customer means the person or organization that contracts with Mile7, unless the applicable arrangement states otherwise. Passenger means the person receiving transportation. Booking Party means the person or organization arranging transportation. These may be different people or entities.
2. Information We Collect
Depending on the transportation or interaction, Mile7 may collect the following information:
Contact and transportation-request information
Name, telephone number, email address, and other contact details.
Pickup and destination locations, requested date and time, return-trip information, and trip-related instructions.
Passenger count and other information reasonably needed to arrange the requested transportation.
Passenger assistance information
Mobility, accessibility, wheelchair, boarding, or other transportation-assistance instructions reasonably necessary for the trip.
Information about child restraints or other safety-related transportation needs.
Information involving minors
Whether a passenger is under 18, when relevant to the transportation.
Parent, guardian, caregiver, or other authorized adult contact information when needed.
Car-seat or booster-seat requirements and other safety-related instructions.
Information received from organizations and partners
When transportation is arranged by an authorized organization, business, healthcare-related organization, government program, transportation partner, or other contracting party, Mile7 may receive information reasonably necessary to arrange, perform, document, or report the transportation.
Communications
We may retain information contained in service-related telephone calls, text messages, emails, website submissions, complaints, requests, and other communications. Mile7 does not currently record ordinary telephone calls.
Vehicle, trip, and location information
Mile7 uses vehicle-mounted video and GPS/telematics technology for legitimate safety, security, service-verification, claims, and operational purposes. These systems may generate information such as vehicle location, routes, timestamps, driving events, and relevant video footage.
Website and device information
Our website and service providers may collect technical information such as browser type, device information, IP address, pages visited, cookie choices, and basic website usage information.
Mile7 does not currently collect payment-card or bank-account information through the public website.
3. How We Use Information
Mile7 may use personal information to:
Respond to inquiries and transportation requests.
Confirm availability and arrange, dispatch, perform, and document transportation.
Communicate with Customers, Passengers, Booking Parties, authorized representatives, drivers, and transportation partners.
Provide appropriate mobility, accessibility, child-restraint, or other transportation assistance.
Verify service performance, investigate complaints, and respond to accidents, incidents, claims, or safety concerns.
Meet contractual, insurance, audit, billing, regulatory, and legal requirements.
Protect Mile7, our passengers, personnel, vehicles, systems, and business operations.
Improve our website, customer experience, and transportation operations.
Send optional marketing communications where permitted and appropriate.
Mile7 uses information for the reason we have it. Information provided for transportation is not treated as unrestricted permission to use it for unrelated purposes.
4. NEMT, Health-Related, and Special-Assistance Information
Mile7 may provide non-emergency medical transportation (NEMT) or other transportation for passengers who need mobility or other assistance.
We seek to limit health-related information to what is reasonably necessary to understand and meet the transportation need. Mile7 does not intentionally request full medical records, detailed diagnoses, medication lists, treatment notes, or other unnecessary clinical information through the public website.
A driver may receive transportation instructions reasonably necessary for the trip, such as that wheelchair assistance is required. Drivers are not provided unrelated medical information merely because Mile7 or a contracting organization may possess it.
Where an applicable law, contract, or program imposes additional privacy or security requirements, Mile7 will handle information in accordance with those requirements.
5. Children and Minors
The Mile7 website is intended for adults and authorized organizations arranging transportation. It is not directed to children.
Mile7 requires passengers under 18 to be accompanied by a parent, guardian, caregiver, or other appropriate authorized adult.
Mile7 limits information about minors to what is reasonably necessary to arrange and safely provide the transportation and meet applicable safety requirements.
Information involving minors is not used for unrelated advertising, social-media content, or other purposes unrelated to the transportation relationship.
6. How We Share Information
Mile7 may share information with the following categories of recipients when there is a legitimate reason to do so:
Authorized Mile7 personnel and assigned drivers, limited to information reasonably needed for their role.
Customers, Booking Parties, authorized representatives, contracting organizations, and other authorized parties as needed to coordinate or document transportation.
Authorized transportation partners or subcontractors when they are legitimately involved in providing or coordinating the service.
Technology and business service providers that support our website, communications, storage, vehicle technology, or operations.
Insurers, professional advisers, auditors, and claims or compliance personnel when appropriate.
Government agencies, regulators, courts, law enforcement, or other parties when disclosure is required or permitted by law or reasonably necessary to protect safety or legal rights.
Mile7 does not sell Customer or Passenger personal information for money. We do not use sensitive transportation, NEMT, minor, mobility, trip, or vehicle-recording information for unrelated targeted advertising.
7. Website Technology, Cookies, and Analytics
The Mile7 website is hosted on Squarespace. We also use services such as Google reCAPTCHA to help protect website forms from spam and abuse, and we may use basic website analytics to understand how visitors use the site.
Our website may use necessary cookies for site functionality and limited non-essential cookies for analytics or related purposes. Where available, our cookie controls are designed to allow visitors to accept, decline, or manage non-essential cookies.
Mile7 does not currently use third-party advertising pixels for behavioral or targeted advertising. If our website technology materially changes, we will review the privacy implications and update this Policy as appropriate.
8. Vehicle Video and GPS
Mile7 uses vehicle-mounted video and GPS/telematics systems for safety, security, service verification, incident review, claims, fleet management, and operational purposes.
Access to vehicle video and historical GPS information is limited to authorized personnel with a legitimate operational, safety, compliance, claims, or legal need. Vehicle-generated information is not used for unrelated marketing or social-media purposes.
Routine vehicle video and detailed GPS information are generally kept for shorter operational periods than core transportation records, unless relevant information must be preserved because of an accident, complaint, claim, audit, investigation, contractual requirement, or legal hold.
9. Data Retention
Mile7 keeps personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable contractual, audit, insurance, regulatory, tax, claims, and legal obligations.
As a general operating standard, core completed transportation records may be retained for up to seven years. Website inquiries that do not become transportation records may generally be retained for up to twelve months.
Some information is kept for shorter periods. Some records may be kept longer when required by a contract, law, regulator, insurer, audit, complaint, incident, claim, investigation, subpoena, litigation, anticipated legal matter, or other preservation obligation.
When information is no longer required and no preservation obligation applies, Mile7 seeks to dispose of it appropriately.
10. Information Security
Mile7 maintains administrative, technical, and physical safeguards appropriate to the nature of our business, systems, and information. These safeguards are intended to reduce the risk of unauthorized access, use, disclosure, alteration, loss, or destruction of personal information.
Access to personal information is limited according to legitimate business need. Mile7 also maintains internal information-security and data-handling procedures, including controls for personnel access, mobile devices, retention, incident response, and secure disposal.
No security system can guarantee absolute protection. If a security incident occurs, Mile7 will evaluate and respond to it in accordance with applicable legal, contractual, and regulatory requirements.
11. Marketing and Service Communications
Service communications are communications needed to arrange or provide transportation, such as request follow-up, confirmation, driver-arrival information, schedule changes, or service issues.
Marketing communications are separate. Providing an email address or telephone number for transportation does not, by itself, give Mile7 unrestricted permission to use that information for marketing.
Where Mile7 offers optional marketing communications, recipients may use the available unsubscribe or opt-out method. Mile7 may keep a minimal suppression record so that an opt-out can continue to be honored.
12. Your Privacy Choices and Requests
You may contact Mile7 with questions about our privacy practices or to request access to, correction of, or deletion of personal information associated with you. You may also contact us about marketing preferences or other privacy concerns.
Mile7 may need to verify identity or authority before acting on a request. We will evaluate requests in light of applicable law, contractual requirements, transportation records, safety obligations, audits, claims, and other legitimate retention needs.
A request to delete information does not necessarily require Mile7 to delete information that must be retained for a valid contractual, regulatory, safety, insurance, legal, audit, or claims-related purpose.
13. Changes to This Privacy Policy
Mile7 may update this Privacy Policy as our services, technology, legal obligations, or information practices change. When we make a material change, we will update the date shown at the top of this Policy and provide additional notice when appropriate.
Our goal is for this Policy to describe what Mile7 actually does. If our information practices materially change, our privacy documentation and internal procedures should change with them.
